We're looking for a Front Desk Receptionist who shares our passion for exceptional patient care and understands that the front desk is where healing begins.

 

The Role

As our Front Desk Receptionist , you'll be the first voice patients hear and the first face they see. You're not just answering phones and scheduling appointments—you're creating an experience that makes every person feel seen, heard, and valued from the moment they connect with us.

This role is ideal for someone who thrives on organization, takes pride in thoroughness, and finds genuine satisfaction in creating seamless systems that support both patients and practitioners.

 

What You'll Do

Patient Experience & Communication

  • Warmly greet patients and callers, creating a welcoming environment that reflects our commitment to care
  • Answer inquiries about our services including thermography, holistic health consultations, and bioidentical hormone therapy
  • Schedule and coordinate appointments across multiple practitioners and service types
  • Follow up with prospective patients and guide them through the process of becoming clients

Administrative Excellence

  • Prepare for patient sessions by ensuring all forms, protocols, and documentation are complete and organized
  • Manage supplement inventory—tracking orders, coordinating with clients when items arrive, and maintaining accurate records
  • Process payments, create invoices, and maintain meticulous financial documentation
  • Handle correspondence, voicemails, and portal messages with attention to detail and timely follow-through

Systems & Organization

  • Maintain patient records in our electronic health systems with accuracy and care
  • Track unpaid evaluations and follow established protocols for resolution
  • Generate daily transaction reports and support overall office operations
  • Manage Facebook group requests and email list additions following established procedures

  • Systematic & Organized You have a method for everything—and you actually use it. Whether it's managing a multi-line phone system while checking in patients or tracking supplement orders, you rely on systems, checklists, and consistent processes to keep everything running smoothly.
  • Reliable & Consistent You show up, follow through, and do what you say you'll do. You appreciate clear procedures and take satisfaction in executing them well. When you learn the right way to do something, you do it that way every time.
  • Calm & Adaptable While you prefer clear guidelines and proven methods, you handle the occasional curveball with grace. You're comfortable learning new systems with proper training and support.
  • Genuinely Caring You understand that patients coming to us may be frustrated, overwhelmed, or scared about their health. You bring empathy, patience, and warmth to every interaction.

 

Qualifications

Required:

  • Previous experience in a front desk, administrative, or patient-facing role
  • Strong proficiency with office technology (scheduling software, multi-line phones, basic computer skills)
  • Excellent written and verbal communication skills
  • Demonstrated attention to detail and organizational abilities
  • Understanding of HIPAA and patient privacy requirements
  • Ability to manage multiple tasks systematically without sacrificing accuracy

Preferred:

  • Experience in a healthcare, wellness, or holistic health setting
  • Familiarity with EMR/EHR systems or patient management platforms
  • Knowledge of basic medical terminology
  • Experience with insurance verification or billing processes
